Terms and Conditions
for hire of rooms in Storth Village Hall

It is a condition of hire that all the following conditions are agreed to, accepted and abided by all hirers.  The hirer will always sign an agreement to these conditions.

Conditions of Hire

The Hirer is Responsible for;

2.1. GENERAL

1.) Replacing all fittings damaged during the hire period.

2.) Ensuring that all rooms, including kitchen and coffee bar, are left in a clean and tidy condition.

3.) All keys to be returned within twelve hours if on loan, unless otherwise agreed in writing.

4.)  Providing any necessary tea towels and/or cleaning materials.

2.2. LICENCES - ALCOHOL & MUSIC

1.)  Obtaining the necessary licence for intoxicating liquor.

2.)  An addition charge is due to the Performing Rights Society when music is played.  This applicable charge must be paid to the Booking Secretary at time of booking.

2.3. FIRE SAFETY

1.)  Appointing a person to be responsible for observing all the fire regulations displayed in the Hall.

2.)  Ensuring compliance with the guidance given to minimise risk in the appendix to this document.

2.4.  INSURANCE DISCLAIMER

1.)  Hirers are reminded that the Village Hall Public Liability Insurance does not cover injury or damage caused to or by any person using the Hall unless this is due to negligence on the part of the Management Committee.

2.)  Any additional Accident Insurance must be taken out by the hirer.

However this is not required for Charity Events, Coffee Mornings or      Private Parties, as these are covered by the Village Hall Public            Liability Insurance.

2.5. ACCIDENTS

1.)  A First Aid box is located by the front entrance.

2.)  Any accidents MUST be recorded in the Accident Book, which accompanies the First Aid box.

3.) The Booking Secretary MUST be notified of ant accidents at the time of returning keys.

2.6.  WASTE DISPOSAL

1.)  The Village Hall is classed as Commercial Premises and is liable for all waste disposal charges.  It is therefore the responsibility of the hirer to femove ALL rubbish, bottles, leftovers, etc..

3.1. EQUAL OPPORTUNITIES

1.)  All hirers will comply with the Village Hall Constitution, which at paragraph 3 states;

       "...for the use of Storth, Sandside and the neighbourhood thereof... without distinction of political, religious or other opinions,...  including use for lectures, classes and liesure time occupation..."

2.)  The Village Hall aims to ensure that no hirer receives less favourable treatment on the grounds of race, colour, nationality, religion, ethnic origin, age, gender,sexual orientation or disability.

3.)  This Village Hall is committed to ensuring that this policy is adhered to by all users and hirers. 

4.)  This policy also covers the election and appointment of Management Committee members, volunteers, and anyone the Management Committee might employ.

Appendix A -   4.1.  Minimising Risk

The Hirer is Responsible for ensuring the following safety proceedures are adhered to at all times, specifically;

1.)  The hirer must appoint a person to have overall responsiblity for all safety related activities and reporting.

2.)  The hirer must ensure they have access to a useable mobile phone for emergency contact.

3.)  The hirer must ensure that no smoking occurrs on the premises to comply with UK law.

4.)  The hirer is to ensure ALL emergency exits are clear of obstructions, that Emergency Exit signs are clear and unobstructed, and that all persons are adequately brief on their escape routes.

5.)  When moving or setting up furniture Hirers must ensure two people are involved and share the effort to prevent injury.  In addition all aisles must be a minimum of 1 metre wide to comply with fire safety.

6.)  The hirer is responsible for ensuring the electrical safety of all equipement brought onto the premises.  All equipement must be kept clear of liquids to prevent shorting.  All extension leads should be secured and protected to prevent trip hazards.  Electrical equipement must be protected by earth-leakage RCDs (Residual Current Device).

7.)  The hirer is responsible for the safe transport, storage and use of any flammable material (eg spirits) brought into the building, and that they are removed from any possible source of ignition.

8.)  The hirer is responsible for ensuring, where reasonable, that materials brought into the building are fire resistant.

9.)  The hirer MUST bring to the attention of the Village Hall Management Committee or the Booking Secretary any concerns over hazards or fire risks.

10.)  The hirer is to ensure that all furniture or structures (eg display boards, stage, etc..) does not constitute a trip hazard or fire fisk, and that all exit routes remain unobstructed and clear at all times.

11.)  It is the hirers responsibilty to confirm with the Booking Secretary that occupancy numbers will not exceed the licencing limit and/or the licencing time limit.
